SUMMARY: The Account Payable Specialist provides accounting and clerical assistance to the accounting department.

Requirements

DUTIES AND RESPONSIBILITIES:

The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons.

  • Organizes workflow to ensure timely and accurate processing of accounts payable invoices; receives, verifies, and posts invoices into accounting software, MetaViewer, and MS Dynamics Solomon.
  • Receives and reviews purchase orders, check requests, travel reimbursements, and/or other related documentation for completeness and compliance with financial policies, procedures, and contractual requirements. 
  • Follows up on Vendor account statements and other discrepancies regarding account payments; serves as the liaison between department managers and vendors in resolving problems and differences.
  • Processes invoices for payment; prints and mails accounts payable checks.
  • Maintains accounting department files and records.
  • Prints and routes accounts payable reports.
  • Processes W-9 requests.
  • Update Vintners Advantage (VA) software with Grower Contract information.
  • Maintain Grower Payables files, spreadsheets, and reports in Excel. 
  • Run weekly check batches in VA, paying growers according to contract terms.
  • Assists with special accounting projects as needed, and other duties as assigned.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below represent the knowledge, skill, and ability required.   • 2-3 years related experience, or equivalent combination of education and experience.
  • Accurately keystroke a minimum of 40 wpm.
  • Ability to adapt to a variety of software, proficient in MS Office products: Excel, Word, and Outlook.
  • Acute attention to detail and strong organizational skills.
  • Commitment to excellence and high standards.
  • Excellent written and verbal communication skills.
  • Ability to understand and follow written and verbal instructions.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

PHYSICAL/MENTAL REQUIREMENTS:

While performing the duties of this job, the employee is frequently required to do the following: 

  • Sit or stand for prolonged periods (sit/stand desk provided)
  • Perform some repetitive motion activities
  • Coordinate multiple tasks simultaneously
  • Proven mathematical aptitude 
  • Ability to occasionally lift up to 25 pounds
